Importance of Visual Aids for Presentations and Speeches in Management

Simple and effective visual aids help to retain attention of your audience while you present or speak on a particular topic. Here we analyze different types of visual aids and post-presentation tips.

         

Visual aids are highly useful during speeches and presentations. They make the event less boring and more effective. Listeners can easily remember the key points of a discussion with the help of visual aids. Hence, speakers and presenters should use simple and effective visual aids in the presentation. It helps their audience to have good clarity and retain information imparted by the speaker.

Design and Presentation of Visual Aids

Speakers can use slideshows of text or images as visual aids. Visual text aids can comprise of simple sentences having the key points. You can highlight these sentences to make them more effective.

Slides with text visuals should not have more than six sentences in each slide. Visual graphics can contain maps, tables, diagrams, charts and graphs. Visual aids help to grasp the attention of your audience and prevent distraction. Let us see a few visual aid mediums used for presentations-

Handouts

Giving out handouts like reports, abstracts, graphs, tables and charts can help the audience to remain focused on the subject of the presentation. They are good for informal situations but can also distract the attention of your listeners. They will pay more attention in reading the handout than listening to your speech.

Chalkboards and Whiteboards as Visual Aids

Both these boards allow the speaker or presenter to make the audience participate actively. They can use audience suggestions and write them. This adds flexibility to the speech since it allows ideas and opinions of listeners.

Flipcharts

Flipcharts are nothing but charts that you can flip or turn over while giving a speech. These include larger sheets of paper clipped on a board. You can write as you talk and flip the chart after the page is full. Flipcharts are perfect when making presentations and speeches for small and informal groups.

Overheads (miscellaneous visual aids)

Projectors are good visual aids for presentations. This does not need low or dim lighting. Hence, speaker can make proper eye contact with listeners without too much distraction and disturbance. You can use opaque projectors to display photos and report excerpts.

Slides

Professional presentations use slides. These are perfect for professional use since they can contain words or text, graphs and images. One drawback is that presenters need a dim light or dark room for slides and hence, cannot see the listeners during slideshow presentation. Moreover, speakers will need some help in operating slides during presentation.

Computers

Computers can be intelligent and effective chalkboards. Speaker can use computer to make a note of alternate variables on final result. They can also include some animations and graphics using the computer. Moreover, speakers can email computer presentations to the potential customers.

Videotapes, Films, Filmstrips and Audiotapes

All these are good and essential supporting media that help to improve the presentation's quality. Different colors and images can grasp listeners' attention easily.

Models and Physical objects are also good for easier visualization of the original object. If you need to make a presentation of a building, you can scale down a model and use it in the presentation so that the listener or customer can have a better visualization of your speech.

After an oral or visual presentation, speakers should include a question and answer round or session. This will help to know if the audience understood the presentation and will also clarify their doubts.
